Terms & Conditions

These Terms & Conditions apply to all services provided by Beyond Journey Travel Ltd (“we”, “us”, “our”), including hosted cultural retreats, package tours and travel planning and booking services.

By making an enquiry, booking a service, or confirming a reservation with us, you agree to these Terms & Conditions.

2. Our Services

We offer two types of services:

  1. Hosted cultural retreats and package tours, which may include accommodation, transport, meals, activities and on-the-ground hosting.
     
  2. Travel planning and booking services, where we assist with planning, organising and booking travel arrangements on your behalf.
     

The specific services included in your booking will be clearly outlined at the time of confirmation.


3. Bookings & Confirmation


A booking is confirmed once:

  • you have accepted our booking terms, and
     
  • any required deposit or planning fee has been received.
     

Details of what is included in your booking, payment schedules and cancellation terms will be provided prior to confirmation.


4. Payments

Hosted retreats & package tours

A deposit is required to secure your place. The remaining balance must be paid by the date specified in your booking confirmation.

Payment schedules and accepted payment methods will be clearly communicated at the time of booking.


Travel planning services

Travel planning services are provided on a fee basis. Planning fees are confirmed prior to work commencing and are non-refundable once planning has begun.


5. Prices & Changes

All prices are quoted in GBP unless otherwise stated.

We reserve the right to make changes to prices in the event of changes to supplier costs, taxes, or other circumstances beyond our control. Any material changes will be communicated clearly and promptly.


6. Cancellations by You

Hosted retreats & package tours

Cancellation terms, including any applicable fees or refunds, will be clearly outlined at the time of booking and form part of your contract with us.

We strongly recommend that all guests take out comprehensive travel insurance to cover cancellations, illness, or unforeseen circumstances.


Travel planning services

Planning fees are non-refundable once work has commenced, as they cover time and expertise already provided.


7. Cancellations or Changes by Us

While we aim to deliver all services as described, we reserve the right to make reasonable changes where necessary due to circumstances beyond our control, including supplier availability, weather conditions or local factors.

If a significant change or cancellation is required, we will notify you as soon as possible and outline your available options.


8. Travel Insurance

Comprehensive travel insurance is required for all hosted retreats and package tours. It is your responsibility to ensure your policy provides adequate cover for your trip.


9. Health, Fitness & Special Requirements

It is your responsibility to inform us of any medical conditions, dietary requirements or special needs at the time of booking.

By booking with us, you confirm that you are medically fit to travel and participate in the planned activities unless otherwise agreed.


10. Responsibility & Liability

We take reasonable care in selecting suppliers and delivering our services.

However, we are not liable for:

  • delays, cancellations or disruptions caused by events outside our control
     
  • loss, injury or damage not caused by our negligence
     
  • actions or omissions of third-party suppliers beyond our reasonable control
     

Nothing in these Terms limits our liability where it cannot legally be excluded.


11. Package Travel Regulations

Where applicable, bookings are subject to the UK Package Travel and Linked Travel Arrangements Regulations. Full details of financial protection and your rights will be provided prior to booking.


12. Complaints

If you have any concerns during your trip, please notify us as soon as possible so we can address them promptly.

Any formal complaints should be submitted in writing within 28 days of the end of your trip.


13. Data Protection

Your personal data is handled in accordance with our Privacy Policy, which is available on our website.


14. Governing Law

These Terms & Conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the English courts.
